Hotel incident and guest-issue tracking

Recording the hotel issue is only the beginning.

A guest concern or operating incident creates greater risk when its context disappears, responsibility becomes unclear, or the same problem returns without management recognizing the pattern.

After the issue

Keep the management questions in view.

  1. What happened, and which facts are verified?
  2. Was the guest or hotel operation affected?
  3. What immediate action was taken?
  4. What remains open?
  5. Is the same concern appearing elsewhere or again?
  6. Does leadership, ownership, a brand, an insurer, or an authority require separate notification?
Context and follow-through

Connect important concerns to the broader operating picture.

When appropriate, an issue should remain visible alongside room status, guest-experience themes, staffing pressure, maintenance, inspections, and management priorities.

Urgent safety, security, medical, fire, criminal, harassment, privacy, or legal matters require the hotel’s established emergency and escalation procedures. Do not pause immediate action to enter information into On Property.

Clear boundaries

An operating aid—not a formal incident system.

Use your hotel’s required systems and procedures for formal reporting, insurance, safety, legal, security, and brand matters. Managers remain responsible for investigation, policy, escalation, and guest-recovery decisions.

Keep important operating context from getting lost.
